Executive Assistant - Freeport, IL

Furst-McNess Company has an immediate opening for an Executive Assistant to provide a high-level of administrative support to the CFO, Finance Team, Executive Team, and the Chairman and Vice Chairman of the Board.

Responsibilities:                                                 

  • Perform a wide variety of clerical duties for Accounting, including mail pick-up and sorting, sorting incoming payments, matching vendor payments, filing, expense report processing, ordering office supplies, assembling financial packages for both cyclical reports and annual budgets, and serving as backup for other clerical staff when absent.
  • Perform a wide variety of clerical duties for Credit, including processing credit applications and filing.
  • Perform executive assistant duties for the Chairman of the Board, Vice Chairman of the Board, and other members of the Board of Directors, including coordination of all meetings, coordination of all travel arrangements, processing of all expense reports, processing of all retainers and meeting fees, and all other duties as requested.
  • Perform executive assistant duties for the President & CEO, including coordination of all travel arrangements, processing of all expense reports, and all other duties as requested.
  • Perform executive assistant duties for the Vice President & CFO including coordination of all travel arrangements, processing of all expense reports, maintaining all shareholder records, maintaining all corporate minutes, maintaining all meeting materials in Diligent Boards, coordination of the annual meeting of shareholders, tracking corporate donations, managing the corporate passenger vehicle fleet program, maintaining corporate records and contracts, and all other duties as requested.
  • Perform other work-related duties as requested or required.

Minimum Qualifications:

  • Be able to succeed within and adhere to the culture of the Furst-McNess Company.
  • Education equivalent to a Bachelor's degree in Business Administration or equivalent in work experience.
  • Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management.
  • Ability to perform essential job functions with or without accommodation.
  • Ability to read, write and speak English.
  • Proficiency in the use of all office equipment.
  • Working knowledge of computers and software, including SAP and the Microsoft Office suite.
  • Ability to handle information of a confidential nature.
  • Ability to provide outstanding customer service to all associates and management staff, showing a sense of urgency relative to solving problems and performing assigned tasks.
  • Ability to effectively organize work schedules and manage multiple assignments by utilizing time management skills to ensure assignments and projects are completed within agreed upon guidelines.
  • Ability to work as an effective team member.  Willingness to pitch in and do work that may not be a specific part of the job description for the overall good of the Company.
